A recent client approached me with a fairly substantial translation job: six months’ worth of Hong Kong bank statements, translated from Traditional Chinese into British English.


The translations were required as supporting documents for a mortgage application with a major UK bank.


But there was an interesting requirement.


The lender had specifically asked for the translations to be completed by an individual translator, rather than a translation agency.


The client also needed reassurance on another point: because the bank statements contained highly sensitive personal and financial information, no AI or machine translation tools were to be used in the translation process.


For me, both requirements make a great deal of sense.


Why use an individual translator for certified financial documents?


When you send a document to a large translation agency, you may know the name of the company handling your translation. But you don’t necessarily know who is actually translating your documents.


The work may be assigned to one translator, passed through several people or processed using different translation technologies and platforms.


When you work directly with an individual professional translator, the chain is much simpler.

You know exactly who is handling your documents.


In this particular case, the client knew that I would personally translate every page of their bank statements. They knew my professional credentials, they could ask me directly about how their documents would be handled, and I was personally accountable for the accuracy and confidentiality of the finished translation.


The lender could also potentially contact me directly if they had any enquiries about the original documents.


For sensitive documents used in a mortgage application, visa application, legal matter or other official process, that transparency can be extremely important.



Confidentiality and data security: what happens to your documents?


Bank statements are among the most sensitive documents a translator can handle.


They can contain names, account details, balances, transaction histories and a detailed record of an individual’s financial activity.


So when this client asked how I would protect their information – and specifically whether their documents would be uploaded to AI or machine translation services – I was able to give them a clear answer.

For this assignment, all documents were handled locally on my laptop and the translation was completed manually on the same device.


The documents would NOT be uploaded to generative AI services or machine translation tools.


I also agreed that, after delivering the completed certified translations, I would retain the files only until the client confirmed that they had been accepted by the lender. Once I received that confirmation, I would permanently delete the relevant files from my laptop and confirm the deletion to the client by email.


There was no ambiguity about what would happen to their information or who would have access to it.


Why human translation still matters


AI and machine translation have become remarkably capable. As a professional translator, I would be the last person to pretend otherwise.


But when the stakes are high and confidentiality is of paramount importance, working directly with an individual translator who provides 100% human translation and takes the utmost care to protect confidentiality and data security offers a level of transparency, accountability and peace of mind that an anonymous agency simply cannot match.

There is also the question of accuracy.


Bank statements may look straightforward, but translating them properly requires both linguistic expertise and an understanding of regional language varieties.

Even everyday banking terms can vary: an “account” may be referred to as 戶口 in Hong Kong but 帳戶 in Taiwan and Mainland China, while Hong Kong 提款 corresponds to the 取款 more commonly seen in Mainland Chinese banking.


Terms such as 結餘, 餘額 and 余额 likewise reflect different regional conventions. Recognising these differences is essential if a translator is to interpret a financial document accurately in its original context.


Then there is the formatting. A typical bank statement contains complex tables, columns, transaction records, headings and financial summaries, all of which need to be reproduced clearly and accurately in the translated document.

Current automated tools are still unreliable at faithfully recreating complicated tables and layouts, particularly when translating between Chinese and English. Producing a professional document that closely mirrors the original therefore requires painstaking human work – rebuilding, checking and adjusting tables so that the finished translation is both accurate and elegantly presented.


And let’s face it: a well-formatted, carefully presented translation makes a far more polished and professional impression than a document that has been hastily or sloppily put together. When that translation is being submitted for an important official purpose, presentation is no small matter!

The translation of highly confidential private documents is one of the areas where I believe working directly with an individual professional translator has real value.

And if the organisation receiving the translation has questions or requires clarification, there is a clearly identifiable professional responsible for the work.


There is also something to be said for the human touch.


Large translation agencies may process dozens or even hundreds of assignments every day, across many different languages, with each project passing through project managers, translators and other stages of their workflow.


When you work directly with me, your translation isn’t simply another job number in a queue.


I know who my clients are, I understand why they need their documents translated, and I know that what might look like “just another bank statement” can actually be an important part of a mortgage application, visa application or another major event in someone’s life.

If Chinese is your preferred language, you don’t need to communicate your requirements through a project manager who may not speak the language of the documents being translated.
